Program Administrator (part-time, non-exempt)
Commitment: 20 hours per week/hybrid (may vary due to seasonality)

Position Overview
This role serves as the operations, development and communications manager of a board/volunteer–run organization with the mission of raising funding to provide grants in the Newton Public School system focused on new approaches in the classroom, professional development for teachers, and programs that promote equity for all students.
NSF runs fundraisers throughout the year including: Honor Thy Teacher, a program in which parents and the community donate to honor educators; an Annual Appeal, end-of-year campaign; Newton Inspires, an in-person community building and fundraising speaker series; a campaign for NSF’s largest ongoing grant for The Calculus Project; and other projects that may arise. This position is responsible for the administration of these programs and day-to-day management of the organization, working closely with the Board President, Treasurer, and Board Committee Chairs.
Responsibilities
Development Support: Donation Processing & Database Management
- Perform all tasks related to gift processing, including:
- daily entry of donations into Donor Processing computer system, assign fund and appeal coding,
- prepare receipts for bank deposit and preparation of reports on deposit batches
- maintain organized fundraising database, update all donor and prospect information and changes as needed
- Prepare timely donor acknowledgements through donor management system
- Provide reports as requested
- Coordinate all aspects of [or tasks related to] direct mail appeals, including list pulls, coordination of mailing, print pricing and mailing oversight.
Event / Project Assistance
- Assist with planning, logistics, and activities related to NSF special events
- Attend and assist all Newton Schools Foundation sponsored events as required
- Assist Board of Directors as needed by coordinating scheduling
- Liaison between NSF and NPS
- Staff all fundraising and board committees
Operations & Communications
- Manage all project-related administrative processes and day-to-day office operations; act as liaison and provide support & interface as needed for NSF management (Board members) who work outside the office
- Manage and complete special projects or other duties as assigned by Board Management
- Assist with the creation and distribution of NSF publications (e-blasts, e-newsletters, etc.)
- Work with Co-President (s) to maintain & update NSF website as programs and events change, coordinate with web developer and/or web designer as needed
- Organize and maintain system of paper and computerized files, including financial and general business
- Manage financial and administrative activities and assist Treasurer:
- Maintain level of involvement and awareness of NSF efforts in order to best represent the organization.
Qualifications
- A bachelor’s degree or equivalent experience;
- An ability to manage multiple projects concurrently with strong attention to detail;
- Excellent communication (particularly writing, and knowledge of Constant Contact a plus) and interpersonal skills;
- Strong computer skills including Microsoft Office suite and databases as well as Google drives. Experience with donor management system (Donor Perfect experience a plus) and website software (Word Press).
- Strong organizational skills and appreciation of the importance of managing logistical details;
- Proven ability to work independently and as part of a team;
- Proficiency with social media marketing on Instagram, Facebook, Twitter, and LinkedIn platforms.
